Terms of use
Last updated 4 August 2026
These terms cover your use of Repair Diary, a tool for running a repair workshop. By creating an account or using the service you agree to them. If you are using Repair Diary on behalf of a business, you confirm you are allowed to accept these terms for that business.
What Repair Diary is
Repair Diary records the work a repair shop does: the devices it takes in, what was wrong with them, what was done, what was charged, and what was paid. It is a record-keeping tool for your business.
Your shop is your own workspace. People can only see a shop they have been invited to, and only what their role in that shop allows.
Your account
Sign-in is handled by our identity provider. You are responsible for keeping your credentials to yourself and for anything done through your account.
You must give an accurate email address. We use it to identify you and to match invitations sent to you by a shop owner.
Do not share one account between several people. Invite each person to the shop instead, so the record shows who actually did what.
Your data is yours
The cases, customers, prices and documents you enter belong to you. We do not sell them, and we do not use them to advertise to you or anyone else.
You are responsible for what you put in. In particular, you are responsible for having a lawful reason to hold your customers’ details, and for telling those customers how their data is used.
What you may not do
Do not use Repair Diary to break the law, to store someone else’s data without a right to hold it, or to record content that is unlawful where you operate.
Do not attempt to reach data belonging to a shop you are not a member of, disrupt the service for others, or work around the limits the service applies.
Invoices and money
Repair Diary helps you produce invoices and record payments. It does not process payments, and it is not an accountant.
An issued invoice is frozen: it keeps the shop details, customer details, prices and VAT rate that applied at the moment it was issued, and editing the underlying case afterwards never changes it. A mistake is corrected by voiding the invoice and issuing a new one — invoice numbers are sequential and a number that has been used is never reused.
You remain responsible for the accuracy of what you invoice and for meeting your own tax and accounting obligations.
Availability
We aim to keep the service running and to look after your data, but we do not promise it will never be unavailable. Maintenance, faults and problems outside our control all happen.
The service is provided as it is. To the extent the law allows, we are not liable for lost profits or lost data. Nothing here limits liability that cannot be limited by law.
Ending your use
You may stop using Repair Diary at any time. You can leave a shop from its settings; a shop owner can remove a member.
Work already recorded stays with the shop after somebody leaves — the record of who did what is part of the shop’s history and is not deleted when a person departs.
We may suspend an account that is being used to break these terms or to harm the service or other users.
Changes to these terms
If we change these terms in a way that matters, we will ask you to accept them again the next time you sign in. The date at the top tells you which version you are reading.
Contact
